The Perfect Tech Event – Design Checklist
The Perfect Tech Event – Design Checklist
Organizing a successful event is more than logistics; it’s about creating an experience that leaves a lasting memory. Drawing on our daily experience in designing assets for events, we’ve compiled a comprehensive checklist to add an unforgettable touch to your event. At the end of this post, you’ll find a link to download our personal checklist that we use when creating design assets for tech events.
Before we start, here are a few important things to have in mind:
1. Start with a clear strategic plan outlining your event’s goals.
2. If you lack an in-house design team, partner with professionals to guide you seamlessly.?It goes without saying, but you’re always welcome to reach out to us for assistance and support with any design asset you may require.
3. Start the design process early – allowing for creativity, revisions, and finalization.*
*Note: The lead time may vary based on your event’s size. We recommend selecting a timeline that aligns with your event type and size, such as:
Large Events (Conferences, Festivals): Initiate 6-12 Months in Advance.
Medium-Sized Events (Seminars, Product Launches): Begin 6-9 Months Prior.
Small Events (Corporate Gatherings): Start 1-3 Months in Advance.
Now, let’s explore the Mandatory Design Materials. We have divided them into 3 categories, so it is easier for you to prepare:
1. Event Promotion Assets:
First up, the design team got to build a standout brand identity of the event. More than just graphics, the logo, typography, colors, patterns, imagery, and infographics are the visual elements that define your event’s identity. This takes some time, so don’t be shy and reach out early for a comprehensive design strategy before you even start planning it.
Moving forward, focus on the event’s landing page and/or website, ensuring it features an engaging presentation that draws in sponsors, speakers, and participants. This element demands significant attention; collaborate intimately with your design team to make it standout. A well-crafted landing page is essential for garnering interest in your event.
Now it’s time to turn up the volume with essential promotional assets. This encompasses everything from email marketing campaigns and social media ads to carousels, stories, digital tickets, and various other materials you will find in our checklist. Aim to have these prepared at least two months in advance, enabling effortless distribution to all attendees and building anticipation for the event. In our checklist, we offer creative ideas for pre-event games designed to spark early excitement and get people talking.
2. For The Big Day
Heading into the big day, in the midst of all the hustle and bustle, there’s one thing you can rely on – flawless design for everything you’ve carefully planned.?
Keep in mind, social media posts, print materials, and digital assets are vital elements for building excitement before and during the event. Get ready with real-time update banners, captivating video templates, and eye-catching brochures, flyers, and signage. Your design team should also focus on creating outdoor billboards and indoor backdrops. Additionally, for your online attendees, craft icons, wallpapers, and virtual event backdrops to enhance their digital experience. And don’t forget to craft unique merchandise for lasting memories. You’ll find all these elements and more in our design assets checklist.
Last but not least, challenge your team to create something unique and original. While the must-haves are crucial, adding a special, inspiring touch can leave a lasting impression on your attendees. Whether it’s a fun game or another exclusive experience only your company can deliver, discuss the possibilities with your design team to create something truly exceptional.
You should receive the designed promotional and event materials a month before the event, allowing you to start the printing process and plan for distribution and placement.
3. After The Event
After the event, staying connected with your attendees is essential, and a visually impactful recap is key. Prepare visuals like highlight reels for social media and banners for thank-you emails to maintain post-event engagement. Use social media templates to capture testimonials and create visuals for feedback surveys.
Although these materials are for post-event use, preparing them in advance ensures seamless distribution.
Our checklist will assist you every step of the way.
